Organizing an Event with Food and Beverage Service

• When booking a room on 25Live, add time for set-up and clean-up. Even if at the time of reserving a space there is nothing scheduled before and after your event, the situation may change and cause some overlap.
• If you plan to serve alcohol at your event on Stanford premises, make sure you abide by the University Alcohol License Policy. NOTE that SELF-SERVICE OF ALCOHOL IS NOT PERMITTED, and beer and wine are the only alcoholic beverages that can be offered at events on campus.

• Inclusive & Safe Menu: if food will be served at your event, ask guests about their dietary preferences and restrictions during the planning stage, or at least make sure that each meal meets the most common diets (vegetarian, vegan, gluten-free, lactose-free, kosher, halal).

  Some people may mention that they have food allergies such as to peanuts, shellfish, lactose, etc. which  can be potentially very dangerous. It’s a good practice to place food labels for each buffet item with key ingredients and mark dishes as Gluten-Free, Vegetarian, Vegan, etc.

• Make sure that the caterer picks up the leftovers and their inventory on time, shortly after the event. Remember, CERAS doors lock at 4:50 pm and someone needs to be present to let the caterers back in to pick up their equipment and leftovers (except for Stanford Catering that has access to all buildings on campus).
• Send an email to any of the GSE mailings lists to inform others there is leftover food so nothing is wasted.
• Before leaving, check that the room/s you have been using are clean and make sure nothing is left behind.
